Job Title: Program Coordinator
Reports To: Assistant Director of Global Operations
Contract Type: Full-time, 1-year contract with potential to transition into a permanent role.
Duty Locations: Remote in Spain

Position Overview

The Program Coordinator is responsible for coordinating the operations and logistics of all programs and tours. This role will prioritize programs and tours in Spain and Portugal while also supporting other global destinations. Responsibilities include coordinating site visits, activities, and workshops, and identifying local tour guides, guest speakers, and experts. The coordinator will support the development of study abroad programs, build strong partnerships with universities, local nonprofit organizations, and accommodation providers, and design customized itineraries for private travelers. They will provide guidance and travel tips and be available to assist with any issues that may arise while travelers are in-country. The Program Coordinator will also serve as a Program Leader/Assistant during faculty-led programs, accompanying students throughout their experience and ensuring smooth on-the-ground execution.

Responsibilities:

Study Abroad & Faculty-Led Programs
  • Coordinate all logistics including transportation, accommodations, activities, and workshops.
  • Identify and confirm tour guides and guest speakers.
  • Develop and maintain partnerships with local organizations and vendors, including universities and nonprofit organizations.
  • Accompany students and faculty during programs, providing on-the-ground logistical support.
  • Assist in designing faculty-led programs and planning site visits.
  • Conduct pre-departure webinars to educate faculty and students on studying and living abroad.
  • Lead student orientation sessions upon arrival in-country.
Leisure Tours
  • Coordinate all tour activities, such as cooking classes, cultural excursions, and workshops.
  • Build and manage customized itineraries using the KimKim platform and other third-party platforms as needed.
  • Respond to traveler inquiries and provide destination-specific guidance.
  • Work with local teams to confirm accommodations, transportation, private transfers, and other tour logistics.
  • Remain available throughout the tour to troubleshoot and resolve any issues.
  • Create and prepare Tour Information Sheets for travelers.
Other Duties
  • Travel to new destinations to scout locations and develop new routes and experiences.
  • Represent MOBT Global at fairs, conferences, and professional events as needed.
  • Assist with social media, newsletters, data collection, and other marketing or operational projects.
  • Perform additional duties as assigned.
Qualifications
  • Bachelor’s degree in a relevant field (e.g., International Relations, Education, Business Administration) plus 1 year of related experience.
  • Proven experience in program management, preferably in an educational or international setting.
  • Strong interpersonal skills and ability to collaborate effectively with diverse stakeholders.
  • Excellent written and verbal communication skills in English and Spanish, with attention to detail.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Understanding of American culture and familiarity with other cultures is highly desirable.
  • Previous experience in budget management and proposal writing is preferred.
Requirements
  • Be available to travel domestically and internationally as needed.
  • Availability to work weekends, holidays, and outside normal business hours to support staff and in-country travelers.
  • Native or high proficiency in English (spoken and written).
  • Legally allowed to work in Spain.
